Call Assistant

Call Screening for Directors and Executives: Only the calls that matter reach you.

Directors, founders and executives: Call Assistant screens your calls the way a good PA does on the phone. Callers are asked who they are and why before your phone rings, you choose which calls to take, and the people on your priority list are put straight through.

The problem

Every call that reaches you costs you focus.

Cold calls get through

Sales calls, recruiters and "just a quick one" ring the same number as your best client.

Voicemail treats everyone the same

Send it all to voicemail and your business partner or a key client waits with everyone else.

A PA is a big cost for the phone alone

An executive assistant does far more than answer calls. If calls are what you need covered, a salary is a lot to pay for it.

An example call

What a call sounds like.

Here's how a typical call to your AI receptionist might go. It uses your business name, your greeting and what you've told it about your work.

Hartley Advisory

Example call

  1. Assistant: Thanks for calling Hartley Advisory, this is Grace. This call may be recorded. How can I help?

  2. Caller: Hi, can I speak to the managing director please?

  3. Assistant: Of course. Can I get your name and what it's about?

  4. Caller: It's Tom from Brightline Media, about advertising for next year.

  5. Assistant: Thanks Tom. One moment, I'll see if the managing director is available.

What happens next. Her phone rings once and she privately hears "Tom from Brightline Media, calling about advertising for next year". She says no, so Grace takes Tom's message. When her business partner rings an hour later, Grace greets him by name and puts him straight through.

An illustration of a typical call, not a real customer. Names and businesses are made up.

What matters to you

The features you'll use most.

Priority callers straight through

List the people who should get straight through, such as family, a key client or your business partner. Your receptionist greets them by name and puts them through without asking why. Your phone still rings once and you hear who it is first, and you can let them through after hours too.

Warm transfers you can say no to

Your phone rings once. You hear privately who is calling and why, then take the call or let your receptionist take a message.

Name and reason, first

Before anyone is put through, it finds out who is calling and what it is about, unless they are a priority caller you listed. So nobody on your team gets put through cold.

Declined or missed? Back to your receptionist

Say no, miss it or be busy, and the caller goes back to your receptionist, which picks up where it left off and takes a message.

Business hours, day by day

Set different hours for each day. Inside them, calls can be put through. Outside them, messages are taken and nobody is rung, except priority callers you allow.

Messages, summaries and transcripts

Every call lands in your dashboard with a short summary, the full transcript, the message and a one-tap button to call them back.

Call alerts by email

A summary of each call is emailed to you, and anyone on your team you choose, as soon as the call is wrapped up.

Call records stored in Australia

Your call records and recordings are stored in Australia, and your callers' data is never used to train AI.

All questions

Does it replace a PA or executive assistant?

No. It covers the phone: answering, finding out who is calling and why, putting the right calls through and taking messages. It doesn't manage your diary or email, or make calls for you. Some directors use it so their EA isn't tied to the phone, others so they don't need someone answering calls at all.

Can certain people get straight through?

Yes. Add them as priority callers on the Team page with the number they call from and who they should reach. Your receptionist greets them by name and puts them through without asking why. Tick "also outside business hours" for anyone who should reach you when you're closed. If that team member is switched off, they're answered like anyone else.

What if someone pretends to be a priority caller?

Priority callers are recognised by the number they call from, and caller ID can be faked. That's why your phone still rings once and you hear who it is before you take the call. Say no or press 2 and your receptionist takes a message instead. A hidden number never counts as a priority caller.

Will callers know it is AI?

That is up to you. New accounts start with "tell callers up front" on, so it introduces itself as your virtual receptionist, and you can switch that off. Either way, if a caller asks, it says it is a virtual receptionist and never pretends to be a person.

Am I locked into a contract?

No. Monthly plans run month to month. Cancel from your account any time and your plan runs to the end of the period you have paid for. Upgrade straight away, or move to a smaller plan at your next renewal.
